We try our best to make the rental process easy and fun. Please respect our products as they will be used by many others in the future.
Reserving Equipment
-Equipment is officially reserved when booked online or via telephone AFTER payment has been made. You will receive an order confirmation via e-mail showing the equipment you reserved. Down payment of 15% must be made in order to send confirmation.
Changes, Cancellations & Refunds
-Changes: Items can be added or removed 3 days before the event. Items can be added depending on availability.
-Cancellations and Refunds: Cancellations made more than 3 day before the event will receive a full refund. Refund may take up to 2 weeks to process. A check is create and client must pick it up from our store in Fairfax, VA. Event cancelled less than 3 days before the event will not receive a refund. Any equipment not used for the event or if the event is cancelled will still be charged the full amount if already delivered or picked up by the client.
Final Payment
-Final payment of an order is due the day before delivery. Incase the client wishes to pick up the items. We will require full payment the day before the scheduled pick up date. All orders will require a credit card on file.
Delivery and Set up
-We keep a tight delivery schedule and work hard to make sure we get the items to you on time. Please note sometimes things are out of our control that can cause delays. We will communicate with time when this occurs. Currently all our deliveries come with a 20 minute set up period. Once we arrive we will be able to set non tent items up free of charge for the first 20 minutes. Don’t worry we don’t nickel and dime if we go past one or two minutes. Please let us know if there are any obstacles that will prevent us from completing within the 20 minute mark. Setup will be subject to additional fees, if the order is large or there is an obstacle keeping us from setting up within the 20 minute mark.
Rental Period
-All rentals are for up to 5 day use. Start the day (not time) of delivery/pickup and ends the day (not time) of drop-off/pickup. You do not have to use or keep the items for 5 days. No discount is provided if used less than 5 days. Please let us know asap if you need a longer rental period than requested. Additional fees may apply.
Permissions, Permits, Licenses, and Venues
-Client is responsible for obtaining any necessary permits and/or licenses required for the installation of rental equipment. Permissions or reserving of venues is responsibility of the client.
Weather
-Our tents and bounce houses (coming soon) are designed to be used in most normal weather conditions. We recommend evacuation during high winds, lightning, heavy downpour
Condition of Equipment
-Rented Items and Equipment must be returned in original condition. There is a cleaning fee of $2 for any major cleaning needed. Regular cleaning is already included if all the item needs is a quick wipe down and disinfectant.
-Equipment must be returned unbroken and without damage. Client will be financially responsible to provide a replacement. Altair will notify Client of the cost, shipping and taxes associated with the product. Dings and minor breaks happen. The Rental Protection Plan will cover these instances. However it will not cover negligence.
Lost Equipment
-Any lost equipment must be financially replaced. We will notify the client of the cost, shipping, and taxes associated with the product (s).
Rental Protection
-Provides basic ding and scratch protection on the rental equipment.
-Will always be included in the cost unless client signs off they are not interested.
-Does not protect against any damage due to negligence or improper use of equipment.
-Is priced at $5 or 10% of total cost, whichever is greater.
Notice of Damage, Loss or Accident
-It is the Clients responsibility to notify an Altair Event Rental associate of any damaged, lost or accidents involved with the equipment.
Use of Equipment
-Equipment is intended for its original use. Chairs to sit on, coolers to keep drinks and food in, tables to eat or display things on, etc. Any harm that is caused by inappropriate use of rental equipment will fall upon the client. Any and all liability, claims, judgements, attorneys’ fees and costs will not be held against Altair Event Rentals. Unless negligence from Altair Event Rentals is what caused harm.
